After Your Arrival at FHWS

After your arrival at FHWS, you should take care of the following formalities as soon as possible:

In the first few days after your arrival at FHWS, there is a lot to organize. In order to support you coping with administrative formalities, the International Office at FHWS organizes an Orientation Programme for international students before the beginning of each semester.

  • If you contract a German public health insurance after your arrival in Germany, you will receive all necessary documents for enrolment at FHWS from the health insurance company.
  • If you have a health insurance from your home country or a German private insurance, please hand in your insurance documents to a German public health insurance company after your arrival at FHWS. They will provide a confirmation that your health insurance is valid in Germany. You need to hand in this confirmation together will your documents during enrolment at FHWS. Without the confirmation from a German public health insurance company, you cannot enroll!

Which documents do you need for enrolment?

  • Certificate of a valid health insurance
  • Copy of a valid passport or ID card
  • Documents indicated in your declaration of acceptance, if not yet handed in (concerns only fulltime students)

Where can you enroll?

At the Office of Student Affairs (HSST) of your faculty. You can find an overview over the HSST contact persons under the following link:

After your arrival at FHWS, you have to register at the Registration Office in your city of stay within 14 days. This accounts for EU citizens and non-EU citizens.

You need these documents for registration at the registration office in Würzburg:

  • Valid passport or ID card
  • Landlord/lady's confirmation of residence (Wohnungsgeberbescheinigung) signed by the landlord/lady or student residence. You can get it from the landlord/lady or the student residence.
  • Rental contract (not crucial, you should hand in to be on the safe side)
  • For € 30 refund of semester fee: Enrolment certificate from FHWS (You can print it from the student portal: https://studentenportal.fhws.de/login - you can hand it in later)

You need these documents for registration in Schweinfurt:

Please note: International students (EU citizens and non-EU citizens) living in Schweinfurt must visit the Foreigners’ Office (Department for Staatsangehörigkeits- und Ausländerangelegenheiten -nationality issues and foreigners affairs) before they can register at the Registration Office. There, they will receive a stamp on their registration form, which they can take to the registration office.

Documents for registration at the Registration Office and the Foreigners’ Office (concerns EU citizens)

  • Valid passport or ID card
  • Landlord/lady's confirmation of residence (Wohnungsgeberbescheinigung) signed by the landlord/lady or student residence. You can get it from the landlord/lady or the student residence
  • Fully filled registration form Meldebogen (available at the Registration Office or Foreigners‘ Office)
  • Enrolment certificate from FHWS (You can print it from the student portal: https://studentenportal.fhws.de/login)

Registration at the Registration Office and application for residence permit at the Foreigners’ Office (concerns non-EU citizens)

  • Valid passport
  • Latest residence permit and additional sheet (concerns only students who are already staying in Germany)
  • Landlord/lady's confirmation of residence (Wohnungsgeberbescheinigung) signed by the landlord/lady or student residence. You can get it from the landlord/lady or the student residence
  • Rental contract
  • Fully filled registration form Meldebogen (available at the Registration Office or Foreigners‘ Office or on)
  • Biometric photo
  • Filled and signed application for residence permit (available at the Foreigners‘ Office)
  • Enrolment certificate from FHWS (Can be printed from the student portal: https://studentenportal.fhws.de/login)
  • Proof of financial resources (blocked account, scholarship, or declaration of commitment)
  • Proof of a valid health insurance
    • A health insurance card is not enough proof! You need a current confirmation from the health insurance company on paper!

Important: The application for residence permit must be handed in to the Foreigners’ Office approximately two months before expiration of the entry visa. Missing documents for the application can be handed in later. A belated application counts as an administrative offence and can result in a fine.

Giro account: International students at FHWS should open a bank account in Germany. You need the bank account for transferring the semester contribution fee, as well as for the SEPA mandate at the student residence. You can withdraw cash for free on most ATMs.

Blocked account: If you have applied for a visa for Germany, you might had to open a blocked account. After your arrival in Germany, you must activate the blocked account.

There are no tuition fees at FHWS. However, students have to pay a semester contribution fee to stay enrolled. The fee includes the semester ticket, which lets students use public transportation in the city of their study programme for free.

How much is the semester contribution fee?

  • For students in Würzburg: € 123.80
  • For students in Schweinfurt: € 83.20

How can you pay the semester contribution fee?

During personal enrolment at FHWS, you will receive a note from HSST, containing FHWS’s bank account details. From that day on, you have two weeks to transfer the fee to the FHWS bank account. You need a German bank account in order to pay the fee!

For students who stay in a student residence dorm during their time at FHWS: You must go to the student residence and sign your rental contract as soon as possible after your arrival at FHWS. You also need to hand in a SEPA mandate, which is used to debit the monthly rent from your bank account.

Students from non-EU countries have to apply for a residence permit at the Foreigner’s Office in the city they registered. This only applies if they have received a visa for Germany which is not valid for the whole duration of their study stay. 

You need these documents for registration at the registration office in Würzburg:

  • Valid passport or ID card
  • Biometric photo (You can take it at the Bürgerbüro [Speed Capture, fee: € 7. Please take the photo on the day of your appointment], together with the fingerprints and your signature)
  • Filled and signed application form for residence permit (you will receive the application form at the Foreigners’ Office) Please visit the Foreigners‘ Office Würzburg approx. two months before expiration of your visa/residence permit to receive the application form and to make an appointment for application.
  • Certificate of enrolment from FHWS (Can be printed from the student portal: https://studentenportal.fhws.de/login. The student ID card is not sufficient)
  • Confirmation of registration at Registration Office
  • Rental contract (if you live in a dorm at the student residence)
  • Proof of financial resources (blocked account, scholarship, or declaration of commitment)
  • Proof of a valid health insurance
    • Please visit the Foreigners‘ Office only after you have received proof of a valid health insurance from a German public health insurance company!
    • If you are insured with a public German insurance company, a copy of your insurance card is sufficient. In all other cases, a health insurance card is not enough proof. You need a current confirmation from the health insurance company on paper!

Each faculty has their own study course guidance. You will receive information concerning:

  • Your study stay
  • Exam periods

During the orientation programme, you must visit the study course guidance of your faculty for information about your degree programme. Exchange students will receive help with finishing their Learning Agreement. The International Office will advise you about the time and place of your study course guidance.  

All exchange students must fill out a Learning Agreement, before or during the semester. It determines which courses you take during your time at FHWS. The courses are determined during the study course guidance. The International Office will provide information about the Learning Agreement before semester start.
