Studying in Non-EU countries

There are various funding programmes for a study abroad period outside the EU. Having applied successfully for a study place (non-EU) within FHWS as well as at the host university, you can apply at the FHWS International Office for financial support through the following programmes: Erasmus+ mobility for higher education students to partner countries (KA107); PROMOS; funds of the Bavarian State Ministry of Science and the Arts. Application procedures are the same for all three financing options.

Details on the application for financial support as well as on the process are available below in the section on the respective programme.

The deadline for applications for financial support through one of these programmes is always 30 November (for the following summer semester) and 15 June (for the following winter semester).

You would like to apply for a semester abroad? This is what to do before, during and after your mobility abroad:

For more than 20 years, FHWS has established a closely knit network of partner universities whose structure, range of subjects and academic quality correspond to FHWS's own standards.

1. Use MoveOn Publisher and, together with your faculty's international affairs officer, find a suitable partner university for studying abroad.

2. Faculty-internal application: Get information about the application procedure of your faculty from the faculty's website or the faculty's international affairs officer. This information is often available in the area “International" or "Studying abroad" or similar.

3. When selected by the faculty: Get your faculty's international affairs officer's signature on the fully completed and signed declaration of acceptance. Note the selection regulation of your faculty before you complete it.

4. The international affairs officer will register your request for a stay abroad with the FHWS International Office. This is an obligatory step towards your stay abroad.

5. Application at the FHWS International Office: Apply via the MoveOn Portal (Studying Non-EU = Studium Non-EU). As part of the process, please upload the following documents:
- signed declaration of acceptance
- your latest enrolment certificate as PDF
- signed security briefing (please read carefully)
- Signed statement of insurance (please read carefully; for more information, please also click on Insurance info)

6. When you have completed these steps, the FHWS International Office will nominate you at the partner university. This process may take two to six weeks depending on the university. Then, the host university will get into contact with you and provide all information necessary for your registration. You then have to apply for your stay abroad independently at the partner university. Please note that in future both we and the partner university will write to you primarily via your FHWS student e-mail address. Check your account regularly or set up an e-mail forwarding.

7. Having applied successfully at the partner university, please send the confirmation of acceptance or invitation from the host university to the responsible member of staff at the FHWS International Office.

8. You can apply for financial support through the following programmes: Erasmus+ mobility for higher education students to partner countries (KA107); PROMOS; funds of the Bavarian State Ministry of Science and the Arts. Note the application deadlines. When selected for financial support, please take notice of the additional documents you will have to submit as a consequence (details below in the section of the respective programme).

9. Fill out the Learning Agreement (part 1: before the mobility) digitally and in consultation with your faculty. You can use the guidelines (German language) provided by the FHWS International Office to do so. You have to sign it before the start of your semester abroad and get the signatures of the person responsible in your faculty (e. g. examination committee or international affairs officer) and your host university. This document is important for all exchange students to enable the transfer of credits earned abroad

10. Please do not forget to re-enrol at FHWS! If you do not re-enrol, you will lose your student status, and it is no longer possible to receive financial support! In this case, grant amounts already received must be paid back!

11. Confirmation of Stay:
For the first part of the Confirmation of Stay, you need to get the confirmation of your date of arrival from the host university's International Office after your arrival. Send the document by e-mail to the responsible member of staff at the FHWS International Office. For the second part of this document, you need to get the confirmation of the last day of the semester abroad you spent at the university for study purposes from the host university's International Office. If you stay abroad for two semesters, you need one confirmation for each semester.

12. Changes to your study programme can be recorded in the Learning Agreement (part 2: during the mobility) after arrival at the host university up until five weeks after the start of the semester.

After completing your stay abroad, please send the following documents by e-mail to the responsible member of staff at the FHWS International Office:
- fully completed Confirmation of Stay (PDF);
- FHWS enrolment certificate(s) for the semester(s) you spent abroad (PDF);
- Your experience report including the declaration of consent and data protection declaration.

13. Please also submit your formal application for the transfer of credits earned abroad promptly after your semester abroad.

Funding options

Funding: Erasmus+ student mobility in partner countries

Studies abroad at non-European FHWS partner universities in Jordan, Russia, and Ukraine can currently be funded through Erasmus+ (KA107, SMS).

The deadline for applications for financial support through this programme is always 30 November (for the following summer semester) and 15 June (for the following winter semester).

• Bachelor: Study abroad period possible from the 3rd programme semester
• Master: Study abroad period possible from the 1st programme semester However, please also take note of the recommendations of your faculty, as your curriculum may make certain points in time more or less suitable for a stay abroad.
• Duration of the study abroad period: at least 3 months and up to a maximum of 12 months per part of studies • Meeting the application deadlines
• Health insurance for foreign countries (mandatory for FHWS students)

Erasmus+ funding varies depending on your destination. It is only granted if project funds are available and if the destination country meets the programme’s requirements.

• Project 2019: (Duration from 01 Aug 19 to 31 Jul 22): Jordan, Russia, Ukraine
• Project 2020: (Duration from 01 Aug 20 to 31 Jul 23): Jordan, Russia, Ukraine

• You will receive a grant of 700 euros/month for living expenses (pro rata per day) and travelling allowance, which varies depending on your country of destination.

• Travelling allowance in accordance with the EU Distance Calculator:
Jordan: EUR 360
Russia: EUR 275
Ukraine: EUR 275

• The Erasmus+ grant is paid out in two instalments: You will receive 80% before the stay abroad, and the remaining 20% after the stay abroad.

• The minimum duration of a study abroad period is 3 months (90 days)

• Erasmus+ funding is possible multiple times, up to a maximum of 12 months (360 days) within one cycle of study (Bachelor, Master, doctoral degree). From this time allowance, periods with and without funding (so-called zero grant periods) are deducted. Example: A student spent a period of 6 months and 4 days abroad for studying and doing an internship, so there is still a period of 5 months and 26 days left of the Erasmus+ time allowance. In case of another application for Erasmus+ funding in the same cycle of study, the student has to make sure to not exceed the remaining time allowance.

• For FHWS students, Erasmus+ funding for a study visit in non-EU countries is limited to one semester. If you stay abroad for two semesters, the second semester is recorded entirely as zero grant period (period without funding).

The Learning Agreement is a central part of the Erasmus+ Grant Agreement and consists of three parts that belong together. Please keep this document in a safe place!

Part 1 – Before the mobility must be completed and signed before the stay abroad and then be signed by the corresponding examination committee. Once this is done, it has to be countersigned by the host university.
Part 2 – During the mobility contains changes to the study programme, and similar to Part 1, you have to fill in the form and have it signed by the corresponding parties within five weeks after start of the studies.
Part 3 – After the mobility is completed by you once your stay abroad has come to an end. Together with your application for credit transfer and your transcript of records, it has to be submitted to the corresponding examination committee.

For the transfer of credits, please contact your examination committee providing the application for credit transfer, the entire Learning Agreement (part 1, 3 and 3) as well as the transcript of records from your host university.

Send the fully completed and signed Learning Agreement (part 1, 2, and 3) and your transcript of records as PDF file to the responsible member of staff at the International Office after the credit transfer has been approved by the examination committee.

When selecting the students who are to be nominated, contact persons in the faculties pay attention to whether the students can communicate in the country they wish to go to. Therefore, it is worth while taking a language course well in advance. In addition to private offerings, language courses are offered, for example, from the following institutions: FHWS Campus for Language Proficiency; University of Würzburg (JMU); Volkshochschule (VHS) Würzburg.

• Academic performance
• Personal motivation
• Personal commitment (e. g. in the field of expertise)

1. Having successfully applied at the partner university, submit the following documents as hard copies or by e-mail (PDF files) to Thomas Schmitt:
- Application for a grant while abroad including a statement on your financial circumstances
- motivational letter
- current transcript of records
- proof of income
- BAföG notice (if applicable)

2. When the applications have been assessed, you will be informed about the selection decision by the FHWS International Office.

3. Please take the steps before, during and after your mobility as described above.

4. When funded through Erasmus+, the following steps have to be taken in addition:

• Please send a proof of your health insurance for foreign countries (e.g. copy of your insurance policy) as PDF to the responsible member of staff at the FHWS International Office.

• You will receive two copies of the Erasmus+ Grant Agreement, which is the funding agreement of the Erasmus+ programme, by the International Office. This document contains all conditions of the stay abroad as well as the amount of the Erasmus+ grant. Please read the document carefully. Note the information on the top of the page in the section "Special Conditions" on the minimum period of a stay and the maximum period of funding. Having signed the Grant Agreement, please send one copy to the FHWS International Office by post so we can transfer the first instalment of 80% of the grant to your bank account.

• Please consider the Erasmus+ minimum period for a stay abroad (3 months). You have to report any changes in the period or duration of your stay abroad immediately to the responsible member of staff at the FHWS International Office. Changes may result in changes to the Erasmus+ Grant Agreement.

• The Learning Agreement is an elementary component of your Erasmus+ Grant Agreement. Therefore, send the complete document as PDF file before, during as well as after your mobility to the responsible member of staff at the FHWS International Office.

• Participants in the ERASMUS+ programme are obliged to take part in the EU survey of the European Commission for the evaluation of periods spent abroad via the Mobility Tool+ (MT+). At the end of your semester abroad, you will thus receive an e-mail containing the link and the request to take part in the online survey within the next 30 days. We ask you to complete this survey conscientiously.
• Only if all these steps have been taken, we finally can calculate and pay the second instalment of the Erasmus+ grant.

Funding: PROMOS scholarship

Within the German Academic Exchange Service (DAAD) programme PROMOS funded by the Federal Ministry of Education and Research (BMBF) FHWS provides part-cost grants for study stays as well as stays at companies or universities outside Europe for finalising theses.

Having applied successfully at a non-European university, you can apply for a PROMOS scholarship via the FHWS International Office.

The deadline for applications for financial support through this programme is always 30 November (for the following summer semester) and 15 June (for the following winter semester).

• Study visits/final theses in non-European countries
• Meeting the application deadlines
• Health insurance for foreign countries (mandatory for FHWS students)

If you are enrolled at FHWS, you can apply if you meet one of the following conditions additionally:
- You hold German citizenship or
- In accordance with Section 8 (1) no. 2ff and (2), (2a) and (3), you are considered equal to persons holding German citizenship (Here the wording of the law applies, which is available from www.das-neue-bafoeg.de) or
- You are a non-German student or higher education graduate enrolled in a degree programme at FHWS in order to acquire a degree.

For non-German nationals, stays in their home country are excluded. The home country is the country in which the student has predominantly lived for at least five years.

Recipients get fixed funding rates and flat rates. The amount of individual funding rates is available from the DAAD table on funding rates for PROMOS 2021.

The duration of the mobility should be at least 1 month, but not exceed 6 months.

   – the purpose and meaning of your planned stay for your further academic career
   – your personal motivation
• Relevant language skills
• Financial need

Funding: Bavarian State Ministry of Science and the Arts

With the help of funds from the Freestate of Bavaria, FHWS provides financial support for German students planning a mobility to a non-European country during their studies.

The deadline for applications for financial support through this programme is always 30 November (for the following summer semester) and 15 June (for the following winter semester).

• Full-time enrolment at FHWS (outgoing)
• Study visits/final theses non-EU (1 to 6 months)
• Meeting the application deadlines
• Health insurance for foreign countries (mandatory for FHWS students)

Funding is possible for any country. However, there is the condition that no other state funding is received (DAAD, Erasmus+). Only funding through BAföG (Federal Training Assistance Act) is expressly except from this.

Funding is possible for mobilities of at least 1 month and up to mobilities of 6 months.

When selecting the students who are to be nominated, contact persons in the faculties pay attention to whether the students can communicate in the country they wish to go to. Therefore, it is worth while taking a language course well in advance. In addition to private offerings, language courses are offered, for example, from the following institutions: FHWS Campus for Language Proficiency; University of Würzburg (JMU); Volkshochschule (VHS) Würzburg.
